Does this AI workflow actually save time?
Estimate the time saved after accounting for review and setup. Use your own measurements from a small trial rather than relying on a vendor's best-case claim.
Your workflow inputs
Start with a typical week. Change any value to update the estimate.
With these assumptions, the workflow saves time after review. The setup payback estimate compares setup hours with net weekly time saved.
How the estimate works
- Manual time: tasks per week × manual minutes per task.
- AI-assisted time: tasks per week × (AI-assisted minutes + review/correction minutes).
- Net weekly savings: manual time minus AI-assisted time. A negative result means the tested workflow currently takes longer.
- Setup payback: one-time setup hours divided by positive weekly savings. If there are no positive savings, payback is not reached under these assumptions.
Use a small real-world test
Track several representative tasks, including difficult examples and failures. Measure the time spent prompting, reviewing, fixing errors, and handling exceptions. Use the average only if the tasks are reasonably comparable, and revisit the estimate when the workflow or tool changes.
Time saved is not automatically money saved. This calculator does not include subscription costs, integration fees, privacy risks, quality differences, or the cost of mistakes. Add those separately before making a business decision.
